Insightly CRM Review 2026: Pricing, Features, Project Management & Alternatives
Quick Answer
Insightly is a sales CRM with a particularly useful difference: it combines customer relationship management with native project management, allowing businesses to take a won opportunity and continue managing the customer through delivery.
Current Insightly CRM pricing is:
Plus – $29 per user/month
Professional – $49 per user/month
Enterprise – $99 per user/month
All prices are in USD and billed annually and a 14-day free trial is currently available for Plus and Professional. We think Insightly is particularly interesting for businesses where “closed won” isn’t the end of the process.
For example:
Consultancies
Agencies
Professional services firms
Technology companies
Installation businesses
Implementation teams
may win a deal and immediately need to turn it into a structured client project.
Insightly lets businesses convert won opportunities into projects while retaining associated customer information.
That sales-to-delivery handover is the feature we think gives Insightly its clearest reason to be shortlisted rather than simply becoming another CRM in a crowded market.

What Is Insightly CRM?
Insightly is a cloud-based customer relationship management platform designed to help businesses manage:
Leads
Contacts
Organisations
Sales opportunities
Customer relationships
Sales pipelines
Tasks
Projects
Emails
Reporting
Automation
Insightly sits within the wider Unbounce go-to-market portfolio and alongside CRM, Insightly offers:
Marketing automation
Service and ticketing
AppConnect integration automation
These products can also be purchased together through Insightly All-in-One.
What we think
The CRM market already contains plenty of systems capable of storing contacts + leads + opportunities + activities.
That’s not enough on its own to make Insightly particularly interesting.
Its more useful differentiator is CRM + project delivery.
For businesses that sell work and then have to deliver that work, Insightly addresses a genuine operational gap between “The salesperson won the client”
and “Now somebody needs to deliver what was promised.”
How Much Does Insightly CRM Cost?
Insightly currently offers three CRM plans.
Insightly Plus
$29 per user/month billed annually.
Key functionality includes:
Lead management
Contact management
Opportunity management
Project management
Advanced reporting
Pre-built business dashboards
Email tools
Customisable sales processes
Mobile CRM
A 14-day free trial is currently available.
Insightly Professional
$49 per user/month billed annually.
Professional adds functionality including:
Lead assignment and routing
Workflow automation
AI Copilot
More advanced customisation
Higher usage limits
A 14-day free trial is currently available.
Insightly Enterprise
$99 per user/month billed annually.
Enterprise adds advanced capabilities including:
Sandboxes
Products
Pricebooks
Quotes
Comprehensive audit logging
Greater customisation
Higher data limits
Enterprise customers are directed to Insightly sales.
Insightly publishes these prices in US dollars, so UK businesses should confirm their actual billing, taxes and total contract cost before buying.
Insightly CRM Cost Example
Suppose your business needs CRM access for:
10 users.
Using current annual-billing list prices Plus 0 × $29 = $290/month
or $3,480/year.
Professional
10 × $49 = $490/month or $5,880/year.
Enterprise
10 × $99 = $990/month or $11,880/year.
before taxes, add-ons and additional products.
Our take
The interesting jump for many SMEs is Plus → Professional.
For ten users, that currently adds $2,400 per year.
The key question is whether functionality such as:
Workflow automation
Lead routing
AI Copilot
Additional customisation
will save or generate more than that amount. We wouldn’t upgrade simply because Professional is marked as the recommended plan – Buy the workflow you need.
Which Insightly CRM Plan Do You Need?
Plus – consider it if:
You run a relatively small team
You need contact and lead management
You need sales pipelines
You want CRM and project management together
Your automation requirements are relatively modest
Professional – consider it if:
Your sales team is growing
You need lead assignment and routing
You want workflow automation
You want AI Copilot
You have more sophisticated sales processes
Enterprise – consider it if:
You have more complex governance requirements
You need sandbox environments
You need comprehensive audit logging
You need products, pricebooks and quotes
You require greater customisation and scale
What we think
We think Plus is more capable than the entry plan on some CRM platforms because native project management is already part of the proposition.
That makes the $29 price particularly worth examining for service businesses that might otherwise need CRM software + separate project software.
Insightly CRM Features
Insightly’s CRM functionality includes areas such as:
Lead management
Contact management
Organisation management
Opportunity management
Customisable pipelines
Tasks
Projects
Email management
Reporting
Dashboards
Workflow automation
Custom fields
Mobile CRM
Integrations
Feature limits and availability vary by plan.
Insightly Lead & Opportunity Management
Insightly lets businesses capture and manage leads and then progress qualified prospects through sales opportunities and your teams can create sales pipelines reflecting different business processes.
The platform also supports:
Web-to-lead capture
Kanban views
Email templates
Opportunity management
Task management
Relationship linking
Professional adds lead assignment and routing.
Our view
This is solid CRM functionality, but it isn’t why we’d choose Insightly over every other CRM.
HubSpot, Freshsales, Pipedrive, Salesforce and Dynamics can all manage sales pipelines and so the Insightly decision becomes more interesting when the deal closes.
Insightly CRM Project Management
This is the Insightly feature we think deserves the most attention.
Insightly includes native project management within CRM, so your business can convert a won opportunity into a project.
The project can retain the relevant information from the sales process so the delivery team doesn’t have to start from an empty project record and your teams can then manage:
Projects
Tasks
Project pipelines
Milestones
Activities
Customer relationships
Delivery workflows
within the CRM environment.
Why CRM + Project Management Can Matter
Imagine a consultancy sells a £30,000 client engagement.
During the sales process, the salesperson discusses:
Scope
Timelines
Stakeholders
Deliverables
Special requirements
Commercial terms
The opportunity becomes Closed Won.
In many businesses, somebody then creates a new project in another system.
The project manager asks “What exactly did we promise them?” Sales forwards emails.
Someone copies information into the project tool.
The client repeats information.
That’s the handover Insightly is trying to remove.
The opportunity can become a project while retaining the customer relationship and associated information.
Our view
We think this can be genuinely valuable.
Not because having project management inside CRM is inherently better.
But because:
the customer’s history doesn’t have to stop at the point of sale.
Who Benefits Most from Insightly Project Management?
We think the feature is particularly relevant to:
Consultancies
Win the engagement, then manage implementation or delivery.
Marketing agencies
Turn new retainers and campaigns into client projects.
IT service businesses
Move a sold implementation into deployment.
Professional services
Carry client information from business development into service delivery.
Installation companies
Turn a sold installation into a structured delivery workflow.
Training businesses
Move a sold programme into scheduling and delivery.
Onboarding teams
Turn a new customer into an onboarding project.
When Insightly Project Management May Not Be Enough
Native project management doesn’t automatically make Insightly a replacement for every specialist project platform.
A business needing sophisticated:
Resource planning
Complex dependencies
Capacity management
Detailed time tracking
Project budgeting
Portfolio management
may still prefer specialist project management software.
What we think
Ask:
“Do we need to manage repeatable customer delivery?”
or “Do we need sophisticated professional project management?”
Those aren’t necessarily the same requirement – Insightly looks particularly attractive for the first.
Insightly Workflow Automation
Professional and Enterprise introduce more substantial workflow automation.
Businesses can automate repetitive processes and actions based on CRM activity.
Potential workflows include New lead → assign salesperson → create task → notify owner.
Or Opportunity won → create delivery actions → hand over to project team.
Or Project reaches milestone → create next task → notify account owner.
Why we think this matters
Automation becomes particularly interesting when Insightly spans sales + delivery.
Instead of only automating how a lead moves towards a sale, businesses can automate what happens after the sale too.
What Is Insightly AI Copilot?
Insightly now includes AI Copilot on Professional and Enterprise CRM plans and Insightly describes its Copilot as an AI-powered assistant designed to automate tasks and help users focus on important leads.
their CRM pricing also highlights AI-assisted:
Email summaries
Email replies
AI usage allowances vary by plan.
Our view on Insightly AI
As with every CRM we review we wouldn’t buy Insightly simply because it has AI.
AI is rapidly becoming a standard CRM feature.
The useful question is “What work does it actually remove from our team?”
If AI can:
Summarise a long customer conversation
Surface an important lead
Reduce repetitive administration
Help someone understand a customer before a call
that’s useful, otherwise, the AI label itself isn’t a reason to choose one CRM over another.
Insightly Email, Gmail & Microsoft 365
Insightly integrates with both Google and Microsoft environments and their CRM supports:
Google integration
Microsoft 365 integration
Email management
Calendar data
Contact information
Insightly also offers Gmail functionality that allows users to work with CRM information from their inbox.
Why we think this matters
CRM adoption becomes much harder if employees have to choose between doing their job
and updating CRM, and email integration reduces that gap.
If most customer conversations happen through Gmail or Outlook test the email workflow properly during the trial.
Don’t just tick “email integration” off a feature checklist.
Insightly CRM Integrations
Insightly supports integrations across its CRM and AppConnect ecosystem and relevant applications include:
Google
Microsoft 365
QuickBooks
Xero
PandaDoc
Gmail
Slack
Jira
Shopify
Asana
Calendly
DocuSign
Microsoft Power BI
Unbounce
The exact integration method and functionality vary.
Insightly & Xero
Insightly can connect with Xero through AppConnect.
Businesses can use the integration to support workflows including:
Synchronising customer information
Creating Xero invoices from Insightly
Viewing accounting information alongside CRM records
Our view
For UK SMEs, this is particularly useful.
A service business could potentially move through:
Lead → Opportunity → Won Deal → Project → Invoice
with customer information flowing between systems.
That’s a much more interesting CRM story than simply storing contact details.
Insightly & QuickBooks
Insightly offers a native QuickBooks Online integration as well as wider integration options through AppConnect.
The native integration can display information including:
Customer financial summaries
Invoices
Payments
Estimates
within Insightly.
AppConnect can provide more advanced automation.
For example:
Opportunity becomes Closed Won → automatically generate a QuickBooks invoice.
What we like
This is another example of Insightly connecting:
selling the work
with:
delivering and billing the work.
That’s where we think its proposition becomes strongest.
What Is Insightly AppConnect?
AppConnect is Insightly’s low-code/no-code integration automation platform.
It allows businesses to connect Insightly with other applications and create automated workflows between them.
The current AppConnect catalogue includes a large range of integrations spanning areas such as:
Finance
Sales
Marketing
HR
Operations
Customer service
Collaboration
AppConnect is sold separately from the standard CRM subscription.
How Much Does Insightly AppConnect Cost?
Current annual pricing starts at $249 per account/month for 25,000 tasks per month.
Insightly currently lists a $3,000 required technical setup fee.
Higher tiers increase monthly task capacity.
Our view
This is important and it would be easy to read about Insightly’s extensive integration capabilities and assume they are all included in a $29 CRM licence.
They aren’t.
Some integrations are available natively, while more sophisticated automation can require AppConnect so always price the workflow you actually intend to build rather than the headline CRM licence alone.
Insightly Marketing & Service
Insightly’s wider platform includes Insightly Marketing for functionality such as:
Email marketing automation
Prospect scoring
Campaigns
Customer journeys
Marketing reporting
and Insightly Service for customer support functionality including:
Ticket management
SLA management
Customer service workflows
Reporting
These can connect with CRM so customer information moves across different stages of the relationship.
What Is Insightly All-in-One?
Insightly All-in-One bundles:
CRM
Marketing
Service
AppConnect
into one package.
Current annual pricing starts at $349/month for Plus.
Professional starts at $899/month.
Enterprise starts at $2,599/month.
Insightly says businesses can save up to 30% by buying the combined package rather than the products separately.
What we think
We wouldn’t automatically buy All-in-One because the percentage saving sounds attractive.
A saving only exists if you actually needed the products being bundled.
For a company that genuinely wants CRM + marketing + service + integration automation the bundle deserves comparison.
For a sales team that only needs CRM buying more software to obtain a discount isn’t saving money.
Who Is Insightly CRM Best For?
Professional services firms
We think this is one of the clearest use cases because sales can flow into client delivery.
Consultancies
Turn won engagements into projects without losing sales context.
Agencies
Useful where new clients become campaigns, retainers or implementation projects.
Growing SMEs
Professional adds automation without immediately moving into enterprise CRM territory.
Businesses managing customer projects
This is Insightly’s clearest differentiator.
Google Workspace users
Insightly provides Google integrations and Gmail functionality.
Microsoft 365 users
Microsoft integrations make Insightly viable in Microsoft-based environments too.
Businesses using Xero or QuickBooks
Accounting integrations can help connect sales, delivery and finance processes.
Who Should Compare Insightly Alternatives?
Businesses needing a very simple sales pipeline
Pipedrive can provide a more focused experience.
Marketing-led businesses
HubSpot deserves close comparison where inbound marketing is central.
Businesses wanting lower-cost entry-level CRM
Freshsales currently provides a lower-priced paid entry point and a free tier.
Complex Microsoft-centric organisations
Dynamics 365 may offer deeper integration into the Microsoft business ecosystem.
Large enterprises needing extensive CRM ecosystems
Salesforce remains an important comparison.
Teams requiring sophisticated project management
You may still need a specialist project platform alongside CRM.
Insightly CRM Pros & Cons
Advantages
Native project management: a meaningful differentiator for service businesses.
Opportunity-to-project conversion: helps improve sales-to-delivery handovers.
Reasonable entry point: Plus currently costs $29/user/month annually.
Automation: Professional adds workflow automation and lead routing.
AI Copilot: included on Professional and Enterprise.
Google and Microsoft support: works across common productivity environments.
Accounting integrations: connects with Xero and QuickBooks.
AppConnect: offers extensive integration automation.
Wider platform: Marketing and Service can extend the customer lifecycle.
All-in-One option: available for businesses needing the broader Insightly stack.
Potential Disadvantages
No permanent free CRM plan: unlike some competitors, current CRM access starts with a trial followed by paid plans.
USD pricing: UK buyers need to establish their actual GBP cost.
Professional jump: moving from $29 to $49/user/month can add up across a larger team.
AppConnect costs extra: advanced integration automation isn’t simply included with the CRM licence.
AppConnect setup cost: current published pricing includes a required $3,000 technical setup fee.
Specialist project needs: built-in project management may not replace advanced project software.
Broader platform cost: adding Marketing, Service and integrations can significantly increase total spend.
What We Like About Insightly CRM
1. It solves the post-sale handover problem
This is easily our favourite part of the proposition as Salespeople know what they sold and Delivery teams need to know what they’re expected to deliver.
Those two things shouldn’t live in completely disconnected systems.
2. Project management starts on Plus
We like that native project management isn’t reserved solely for the most expensive plan.
3. Professional looks like a logical SME growth tier
Workflow automation, lead routing and AI Copilot give growing teams meaningful additional functionality.
4. Accounting integrations support the wider workflow
Xero and QuickBooks integrations make the proposition particularly relevant for service businesses.
5. It can extend beyond sales
Marketing and Service mean Insightly can potentially cover more of the customer lifecycle as a company grows.
What We Think Could Be Better
1. UK pricing could be clearer
We would prefer a UK buyer to immediately see GBP pricing rather than converting from published USD rates.
2. Integration costs need careful scrutiny
AppConnect is powerful, but:
$249/month plus a $3,000 required setup fee
is very different from assuming advanced integration automation comes with a $29 CRM subscription.
3. There isn’t currently a permanent free tier
Freshsales, HubSpot and some other competitors provide free entry points.
4. The broader product structure adds complexity
CRM, Marketing, Service, AppConnect and All-in-One create more buying decisions than simply selecting a CRM plan.
5. Native project management shouldn’t be oversold
We like the feature enormously for repeatable customer delivery – but a business with advanced resource and project portfolio requirements may still need dedicated project management software.
Insightly CRM Alternatives
Freshsales CRM
Freshsales is worth comparing for SMEs wanting sales automation, communication tools and a lower-cost entry point.
Microsoft Dynamics 365 CRM
Dynamics deserves particular attention where CRM needs to become part of a broader Microsoft business architecture.
HubSpot CRM
HubSpot is particularly relevant where marketing and inbound customer acquisition are central.
Pipedrive CRM
Pipedrive is a strong comparison for teams prioritising straightforward visual pipeline management.
Zoho CRM
Zoho deserves consideration where businesses want CRM within a broad business software ecosystem.
Salesforce CRM
Salesforce remains an important alternative for organisations needing a highly extensive CRM ecosystem and sophisticated customisation.
Insightly vs Freshsales
These are both relevant to growing SMEs but have different strengths.
Insightly
particularly stands out for:
Native project management
Opportunity-to-project conversion
Sales-to-delivery workflows
AppConnect
Wider Marketing and Service products
Freshsales
particularly stands out for:
Lower entry pricing
A free plan for very small teams
Sales automation
Built-in communication tools
Freshdesk integration
Freddy AI
Our view
If the biggest problem is “Our sales team needs a better CRM”
we would compare both closely.
If the problem is “Sales wins work and then our delivery team loses half the context during handover”
Insightly becomes considerably more interesting.
Read our Freshsales CRM review .
Insightly vs HubSpot
HubSpot has a particularly strong proposition around:
Inbound marketing
Lead generation
Content
Marketing automation
Sales
Customer service
Insightly’s distinctive proposition is different.
We think Insightly has a particularly strong argument where customer project delivery sits immediately after sales.
For an agency, consultancy or professional services firm that could matter more than having the strongest inbound marketing ecosystem.
For a content-led company generating large volumes of inbound leads HubSpot may be more naturally aligned.
Insightly vs Pipedrive
Pipedrive is particularly well known for its sales pipeline approach.
If the brief is “Give our salespeople a simple visual system for managing deals”
Pipedrive deserves serious consideration.
Insightly becomes more interesting when the brief expands to “Manage the deal, then manage what we deliver after the deal.”
Our take
We wouldn’t make a small sales team accept additional complexity solely because project management exists.
But where post-sale delivery is genuinely important Insightly solves a problem Pipedrive may require another system to handle.
Insightly vs Microsoft Dynamics 365
Dynamics 365 offers a much broader Microsoft business-platform proposition and it becomes particularly compelling where organisations already rely heavily on:
Microsoft 365
Outlook
Teams
Power BI
Power Automate
Power Apps
Insightly can be a more focused alternative for a mid-market company primarily wanting CRM + customer project delivery.
What we think
A company shouldn’t implement Dynamics simply because Microsoft is already on every employee’s laptop.
But if CRM needs deep integration with wider Microsoft business processes Dynamics deserves the comparison.
If the requirement is more contained Insightly could offer a much more straightforward route.
Read our Microsoft Dynamics 365 CRM review .
Insightly vs Salesforce
Salesforce offers a substantially larger CRM ecosystem and extensive enterprise customisation possibilities and that can be extremely valuable.
It can also be more than a mid-sized business needs.
We think Insightly deserves comparison where the business wants:
Sales CRM
Customisable processes
Automation
Project delivery
Integrations
without necessarily embarking on a large enterprise CRM programme.
Salesforce becomes more compelling as requirements for:
Enterprise scale
Specialist integrations
Complex customisation
Large ecosystems
increase.
What Should You Check Before Choosing Insightly?
Before buying, ask:
Do we need CRM only or CRM plus project delivery?
How many users require licences?
Is Plus sufficient?
Do we genuinely need Professional workflow automation?
Will we use AI Copilot?
Do we need Enterprise governance features?
How will we use the opportunity-to-project handover?
Is Insightly’s native project management sophisticated enough?
Do we use Gmail or Microsoft 365?
Do we need Xero integration?
Do we need QuickBooks integration?
Do we need AppConnect?
What will AppConnect add to total cost?
Do we need Insightly Marketing?
Do we need Insightly Service?
Would All-in-One actually save money?
What data needs migrating?
Who will configure the CRM?
Who will own CRM data quality?
What is the total annual cost?
We would pay particular attention to question 8.
If project management is the reason you’re considering Insightly test a real project during the trial.
Don’t just watch a demo.
Take a typical deal your company wins and recreate Lead → Opportunity → Closed Won → Project → Tasks → Delivery.
Then ask the people who actually deliver the work “Would you use this?”
Our View on Insightly CRM
We think Insightly has one of the clearer reasons to exist in an extremely crowded CRM market.
It isn’tAI, as almost every serious CRM is adding AI.
It isn’t pipeline management.
Almost every CRM manages pipelines.
And it isn’t integrations as every major CRM has integrations.
The interesting bit is what happens at Closed Won.
For many CRM platforms, that’s effectively the finish line – the salesperson celebrates, the forecast updates, the opportunity closes.
But for the customer – that’s often where the relationship actually begins. A consultancy now has to deliver the engagement.
Insightly lets that won opportunity become a project without severing it from the customer history that created it.
We think that’s genuinely useful and okay, it won’t matter to every business, but if you’re selling simple products and there is no meaningful post-sale project:
don’t choose Insightly because project management sounds like a nice extra.
You might get better value from Freshsales, Pipedrive, HubSpot or another CRM and likewise, Insightly’s project tools shouldn’t automatically replace specialist software if your delivery operation requires advanced:
Resource planning
Dependencies
Timesheets
Budgeting
Portfolio management
But there is a sizeable group of businesses sitting between those two extremes.
They need a proper sales CRM and a structured way to deliver what sales just promised.
For those businesses we think Insightly deserves a serious place on the shortlist.
Our other caution is total cost.
Plus starts at $29/user/month.
But as you add:
Professional CRM
AppConnect
Marketing
Service
Implementation
the proposition can become considerably more expensive, so d on’t compare Insightly’s $29 headline price with another CRM’s complete solution.
Compare like with like.
For an agency, consultancy or professional services firm, our favourite Insightly demo question would be “We have just won this client. Show us exactly how the information sales captured becomes the project our delivery team works from tomorrow morning.”
If Insightly can make that handover noticeably better that’s a much stronger reason to buy it than another list of CRM features.
